Booking, Cancellation & Refund Policy
Study Life in the UK
Last Updated: 18 October 2026
1. Introduction
Welcome to Study Life in the UK.
We provide accommodation primarily for students and medical professionals visiting Manchester for examination preparation, training and related educational purposes.
Due to limited accommodation availability and the importance of managing confirmed reservations, we operate a structured booking and cancellation policy.
This policy explains our booking procedures, cancellation terms, refund arrangements and applicable charges.
By completing a reservation, guests acknowledge that they have read and understood this policy, which forms part of their accommodation booking agreement, subject to applicable consumer protection legislation.
2. Booking Confirmation
All accommodation bookings are subject to availability.
A reservation is considered confirmed once:
- The required payment has been successfully received.
- The selected accommodation and dates have been confirmed.
- A booking confirmation has been issued to the guest.
Guests are responsible for ensuring that their personal details, accommodation selection, arrival date and departure date are correct before completing payment.
Once confirmed, the selected accommodation is reserved for the guest for the agreed dates and removed from availability for other prospective customers.
3. Accommodation Charges
Accommodation prices are displayed on our website at the time of booking.
The following additional charges apply:
Cleaning Fee – £50 per booking
A cleaning fee is charged to cover the preparation and cleaning of the accommodation.
Refundable Security Deposit – £25 per booking
A refundable security deposit is collected to cover damage, missing items or other legitimate costs arising from the guest’s stay.
All applicable charges will be clearly displayed before payment is completed.
4. Cancellation More Than 15 Days Before Check-in
Guests who cancel their reservation more than 15 days before their scheduled check-in date are eligible for a refund of their accommodation charges, subject to a 3% cancellation administration fee.
This fee is intended to cover reasonable administrative and payment processing costs associated with the booking and cancellation.
Any deduction will be limited to an amount that is fair, proportionate and legally recoverable.
The following charges will be refunded in full:
- £50 cleaning fee
- £25 refundable security deposit
Approved refunds will be returned to the original payment method.
5. Cancellation 15 Days or Less Before Check-in
Guests who cancel their accommodation booking 15 days or less before their scheduled check-in date will normally not receive a refund of their accommodation charges.
Once a reservation is confirmed, the selected accommodation is reserved exclusively for the guest and removed from availability for other prospective customers.
Cancellations close to the scheduled arrival date may result in financial losses, as securing a replacement booking may not be possible.
For this reason, cancellations made 15 days or less before check-in are subject to a cancellation charge of up to 100% of the accommodation cost, where fair and legally permitted.
This policy applies to cancellations arising from circumstances including:
- Changes to examination dates.
- Visa or travel difficulties.
- Changes to personal plans.
- Unexpected personal circumstances.
- Changes to educational or training arrangements.
These circumstances do not automatically entitle guests to a refund of accommodation charges.
Any cancellation charge will remain subject to applicable consumer protection legislation and will not exceed the amount legally recoverable.
Where a guest cancels before check-in, the following will be refunded in full:
- £50 cleaning fee, where the cleaning service has not been provided or reasonably incurred.
- £25 refundable security deposit.
Nothing in this section limits a guest’s statutory rights.
6. Booking Amendments
Guests wishing to amend their reservation must contact Study Life in the UK as early as possible.
Amendment requests may include:
- Changing check-in dates.
- Changing checkout dates.
- Extending the duration of a stay.
- Requesting alternative accommodation.
All amendments are subject to availability and approval.
Any additional accommodation charges resulting from an amendment must be paid before the change is confirmed.
Requests to reduce the number of booked nights or change booking dates may be treated as a partial or full cancellation where applicable.
Submitting an amendment request does not automatically cancel or modify an existing booking.
7. Refunds for Unused Nights
Guests who request to reduce their confirmed accommodation booking within 15 days of their scheduled check-in date, or who leave before their scheduled checkout date, will not automatically be entitled to a refund for unused nights.
Once a reservation is confirmed, the accommodation is reserved for the guest for the entire booking period.
Changes to examination dates, travel arrangements or personal circumstances do not automatically qualify guests for refunds.
Accommodation charges for unused nights may be retained, subject to applicable consumer protection legislation and the requirement that cancellation charges remain fair and proportionate.
The refundable security deposit will be returned following checkout, subject to any legitimate deductions.
8. No-Shows
A no-show occurs when a guest fails to arrive for their confirmed reservation without notifying us.
Guests who anticipate arriving late must contact our team as soon as possible.
Failure to arrive may result in the booking being treated as a cancellation.
Accommodation charges may be retained in accordance with the applicable cancellation terms, subject to consumer protection legislation.
Where the guest has not checked in, the cleaning fee and refundable security deposit will be returned in accordance with Sections 9 and 10.
9. Cleaning Fee Refunds
A £50 cleaning fee applies to each accommodation booking.
Where a guest cancels before checking in, the cleaning fee will be refunded in full if the cleaning service has not been provided or reasonably incurred.
Once a guest has checked in, the cleaning fee will normally be retained to cover the cleaning services associated with the accommodation.
Guests who voluntarily leave early will not normally receive a refund of the cleaning fee.
This does not affect any applicable statutory rights.
10. Refundable Security Deposit
A £25 refundable security deposit is payable at the time of booking.
The deposit is intended to cover legitimate costs resulting from damage, missing items or breaches of the accommodation agreement.
Following checkout, the accommodation may be inspected.
The security deposit will normally be refunded within 7 calendar days after checkout, provided no legitimate deductions are required.
Deductions may be made for:
- Damage beyond reasonable wear and tear.
- Missing accommodation property.
- Reasonable repair or replacement costs.
- Other evidenced costs legally recoverable under the accommodation agreement.
Guests will be informed of any deductions and the reasons for them.
Where a booking is cancelled before check-in, the £25 security deposit will be refunded in full.
Any statutory tenancy deposit protection or repayment requirements applicable to the booking will take precedence over these terms.
11. Early Departure
Guests who voluntarily leave their accommodation before their scheduled checkout date will not normally be entitled to a refund for unused nights.
This includes departures resulting from changes to examination schedules, travel arrangements or personal circumstances.
Any amount retained will be subject to applicable law and must not exceed a fair and legally recoverable amount.
The cleaning fee will normally remain payable where the guest has checked in.
The refundable security deposit will be returned following checkout, subject to legitimate deductions.
This does not affect a guest’s rights where accommodation is not provided as agreed or another statutory remedy applies.
12. Refund Processing
Approved refunds will be returned to the original payment method used to complete the booking.
We aim to initiate approved refunds within 7 calendar days of confirming the amount due, unless a different legal deadline applies.
The time taken for the refund to appear in the guest’s account may depend on their bank or payment provider.
We are not responsible for delays caused solely by the receiving bank or payment provider.
13. Cancellation by Study Life in the UK
In the unlikely event that we are unable to provide confirmed accommodation, we will contact the affected guest as soon as reasonably possible.
Where appropriate, we may offer suitable alternative accommodation.
Guests will not be required to accept an alternative that differs materially from their original booking.
If suitable alternative accommodation cannot be provided or agreed upon, guests will receive a full refund of the amounts paid for the accommodation we are unable to provide, including the associated cleaning fee and security deposit.
This does not affect any additional legal rights or remedies available to the guest.
14. Check-in and Checkout
Our standard accommodation timings are:
Check-in: From 2:00 PM
Checkout: By 10:00 AM
Early check-in or late checkout requests must be approved in advance and are subject to availability.
Guests are responsible for arranging their arrival and departure in accordance with their confirmed reservation.
15. How to Cancel a Booking
All cancellation requests must be submitted directly to Study Life in the UK.
Guests should provide:
- Full name.
- Booking reference number.
- Scheduled check-in date.
- Accommodation details.
The date and time the cancellation request is received will be used to determine the applicable cancellation period.
Guests are encouraged to contact us as soon as possible if their circumstances change.
16. Consumer Rights
Nothing in this policy excludes, restricts or overrides any statutory rights available to guests under applicable UK legislation.
Cancellation charges and deductions will only be applied where they are lawful, fair and proportionate.
Where applicable law provides a guest with additional rights or remedies, those rights will take precedence over this policy.
